01 How is the agenda packet built? +
Department staff submit agenda items (with attachments) through the staff portal up to the deadline. The clerk reviews, orders the agenda, and generates the consolidated packet PDF — typically the night before the meeting.
02 How do roll-call votes get recorded during the meeting? +
From a tablet on the meeting floor. The clerk taps each councilor's vote (yea / nay / abstain / absent); the running tally appears on the public stream. The vote record is final the moment the clerk closes the motion.
03 Are minutes really auto-drafted from the recording? +
Yes. In-platform transcription produces a draft minutes document with motions, votes, and discussion summaries. The clerk reviews and edits before the next meeting's approval — turning hours of minute-drafting into minutes.
04 Does this comply with our state's Open Meetings Act? +
Public posting of agendas and packets follows OMA timing requirements (typically 24/48/72 hours). Public-comment queues, executive-session tracking, and meeting-recording retention all reflect OMA mechanics. State-specific rules are configured during onboarding.
