Common questions

Procurement, RFPs & bids — answered.

The questions we hear most when towns are evaluating this module. Anything specific to your charter, your state, or your existing vendor — we'll answer on the discovery call.

01 How do we publish bid notices publicly per state procurement law? +
Bid notices auto-publish to your public procurement page at your .gov domain with the legally-required content (description, specifications, due date, contact). The system also generates the legal-notice document for newspaper publication where required.
02 How do vendors submit sealed bids? +
Vendors register on the public procurement portal and submit through a secure form before the deadline. Bids stay sealed until the deadline; at deadline, all bids open simultaneously with a timestamped audit log.
03 Can we score bids on factors other than price? +
Yes. Define the evaluation matrix at issuance — price, past performance, schedule, insurance, references — with weighting per factor. Each evaluator scores independently; the system computes weighted totals and shows scoring distribution.
04 What about smaller purchases below the bid threshold? +
Below your statutory threshold (typically $5k–$25k depending on state), the system supports informal-quote workflows — request three quotes, document the choice, generate the PO. Both formal bids and informal quotes feed the same vendor and contract records.
